Established in 2022, Mubadala Health Dubai offers world-class treatments and advanced technology, facilitated by a clinical team of experts with extensive knowledge and experience. Our state-of-the-art outpatient facility provides day surgery, outpatient consultations, and comprehensive diagnostic services for over 30 clinical specialties
This role is responsible for providing administrative and support duties to the Administration department and may function as a liaison between departments and others external to M42.
Responsibilities
- Provide executive support by managing calendars, scheduling meetings, coordinating travel, and preparing agendas and minutes to ensure smooth leadership operations.
- Oversee office coordination including patient appointments, referrals, events, and daily workflow, while serving as a central point of communication across teams and stakeholders.
- Manage documentation and reporting by maintaining filing systems, preparing correspondence, and generating accurate reports and data analyses to support informed decision-making.
- Facilitate communication by handling calls, emails, and visitor interactions professionally, escalating concerns appropriately, and ensuring timely follow-up on tasks and deadlines.
- Support resource management through inventory control, supply ordering, petty cash handling, and vendor coordination to maintain efficient operations.
- Ensure compliance and safety by adhering to organizational policies, health and safety regulations, and infection control practices, contributing to a safe and professional environment.
- Contribute to organizational development by assisting with staff onboarding, event coordination, and corporate initiatives that enhance patient, staff, and leadership experience.
Qualifications
- Hospitality Management Diploma or equivalent
- At least 4 years of senior administrative assistant experience or 2+ years of Personal Assistant experience to CEO level
- Proficient in preparing and reviewing complex documents, data, contracts and presentations.
- Ability to think critically and maintain a high level of confidentiality
- Strong verbal and written communication skills
- Proficiency with Microsoft Office suite
