The Clinic Coordinator plays a key role in supporting the daily operations of the Physiotherapy and Rehabilitation team by ensuring a seamless, patient‑centered experience. This position is responsible for coordinating non‑clinical aspects of patient care, including scheduling, follow‑ups, and clear communication with patients and their families regarding their treatment visits. The role also involves close collaboration with clinical staff and other departments to maintain efficient workflows, accurate documentation, and timely processing of referrals, Current Procedural Terminology (CPT) coding, and pre‑authorizations. The Clinic Coordinator supports operational excellence by managing consumables, assisting with departmental reporting, and ensuring adherence to organizational policies and service standards. This position requires strong organizational skills, attention to detail, and the ability to prioritize tasks within fast‑moving clinical environments to help deliver high‑quality patient care.
Responsibilities
- Coordinate and manage patient scheduling, follow‑ups, and communication to ensure a smooth and supportive care experience.
- Liaise with internal and external teams to handle admissions, reservations, referrals, and pre‑authorizations accurately and on time.
- Review diagnoses and apply Current Procedural Terminology (CPT) codes within 24 hours, supporting efficient clinical and insurance processes.
- Support daily clinical operations by ensuring complete patient documentation, test reviews, and timely reporting to Revenue Cycle Management teams.
- Monitor, order, and track departmental consumables while coordinating closely with procurement and the line manager.
- Participate in audits, implement action plans, and help maintain compliance with infection‑control standards.
- Develop and maintain patient education materials and ensure their availability across the department.
- Demonstrate strong organizational and communication skills to prioritize tasks, collaborate effectively, and maintain seamless day‑to‑day operations.
Qualifications
- Bachelor’s degree in Healthcare Management, Nursing, Physiotherapy, or a related field.
- Certification or additional training in healthcare coordination or medical administration (preffered).
- Experience in clinical coordination or a similar healthcare role.
- Knowledge of CPT coding, diagnosis review, referrals, and pre‑authorizations.
- Experience managing consumables and coordinating with procurement.
