Job Description

Key Responsibilities / Accountabilities

  • Provide secretarial and clerical assistance to the respective department head and perform assigned task promptly and thoroughly with efficient time management and accuracy.
  • Types memos, monthly reports, minutes of the meeting and other similar documents and or/ correspondence.
  • Maintain departmental diary and prepare periodic reports of departmental activities.
  • Prepare computer generated slides and presentations for symposia, workshop, courses or other educational functions.
  • Assist in all aspects of the organization and implementation of educational activities of the department and provide staff information on HMG educational activities thru email and fax.
  • Schedule day to day activities, appointments and meeting.
  • Assure confidentiality of information and be able to handle sensitive issues.
  • Make calls or answer the telephone, taking and transcribing dictation, follow-up orders and work in progress or organizing office work.
  • Handle timekeeping of the department and assist doctors/staff with their leave, accommodation etc.
  • Maintain an accurate and complete record through filling, compiling, retrieving and updating.
  • Coordinate with Department Secretaries regarding inter-hospital notifications.
  • Alert in informing concerned departments regarding on the spot spontaneous changes of circulars.
  • Observe completeness of office supplies for Office.
  • Maintain monthly database for all on board Part Time and Fulltime doctors.
  • Comply with the standards laid down by the Joint Commission on Accreditation of Healthcare Organizations and perform the duties necessary to support it.
  • Participate in person-centered care initiatives undertaken by HMG.
  • Enrich patient experience with compassion, respect and dignity.
  • Perform all other task/duties assigned within the scope of his/her knowledge skill and abilities.

Requirements

Education/ Professional Qualification

  • Educational : Diploma or equivalent qualification.
  • Professional : Related Field

Experience

  • At least two (2) years of experience as Medical Secretary / Assistant. Preferably having hospital experience.

Professional Licensing / Certification / Training

  • Certification : Relevant Certificate
