Job Description

  • Ensure the delivery of safe, efficient, and timely outpatient services during the night shift.
  • Monitor and ensure the implementation of OPD staffing plans to maintain service continuity and smooth patient flow.
  • Oversee the execution of OPD policies, procedures, and clinical guidelines, ensuring integrated and coordinated patient care.
  • Assist the OPD Manager in the preparation of the annual departmental budget in line with hospital policies and timelines.
  • Prepare and submit monthly cost reports for the OPD unit, including recommendations for cost optimization.
  • Monitor Key Performance Indicators (KPIs) for OPD coordinators and follow up on required development and improvement plans.
  • Ensure full implementation of the Departmental Manual in coordination with the Quality Management Department.
  • Supervise the medical claims cycle in alignment with Medical Audit Department guidelines.
  • Follow up with the Medical Approval Unit to ensure timely approvals for referred cases.
  • Supervise the preparation and submission of medical claim files to the Finance Department within agreed timelines and according to hospital standards.

People & Collaboration

  • Monitor and follow up on staff operational schedules in coordination with specialty supervisors to ensure optimal workforce utilization.
  • Support the OPD Manager in conducting performance evaluations for OPD staff during the evening and night shifts.
  • Coordinate daily operations among OPD nursing in charge, appointment booking supervisors, and OPD coordinators to ensure effective teamwork.
  • Train and orient OPD staff on hospital policies, procedures, and clinical practice guidelines.
  • Foster a collaborative work environment that promotes teamwork, accountability, and professional conduct.

Customer, Patient & Stakeholder Focus

  • Ensure accurate attendance tracking of consultants and confirm appropriate coverage during leaves or absences to maintain service continuity.
  • Monitor consultant performance related to clinic attendance and average patient service time, in line with Quality Department standards, and submit monthly reports to the OPD Manager.
  • Maintain continuous and effective communication with patients, families, and caregivers to ensure proper information delivery and early problem resolution.
  • Ensure complete and accurate patient medical records are maintained in compliance with hospital requirements.
  • Prepare and submit monthly referral reports for surgeries, radiology, laboratory, and physiotherapy services.

Compliance, Safety & Continuous Improvement

  • Ensure all OPD services comply with Quality Management standards, infection control policies, and Egyptian healthcare laws and regulations.
  • Enforce the implementation of quality and infection control policies within OPD and emergency-related outpatient services during night shifts.
  • Participate in and support periodic quality and infection control audits and rounds in coordination with relevant departments.
  • Investigate patient complaints, incidents, and violations, recommend corrective or disciplinary actions, and submit reports to the Medical Sector Head and Quality Department.
  • Collaborate with relevant stakeholders in implementing corrective action plans, improvement initiatives, and continuous quality enhancement programs, while taking accountability for outcomes.

Requirements:

  • Bachelor’s degree in pharmacy, Medicine, Physiotherapy or Dental.
  • 1–3 years’ experience in Medical Management.
  • Postgraduate diploma or certification in Healthcare Management.
  • Solid Experience at OPD or Polyclinics.
