Job Description
Provides medical records for patient care and ensures that the confidentiality of patient information is maintained. Performs variety of clerical duties in maintaining the patient medical records/ Health Information that include arranging the contents of records, filing, retrieving, distributing and data entry of requests receiving and releasing in the HIS.
Responsibilities
Maintaining and Managing Patient Records
Maintaining the filing system in effective way to prevent wrong filing or missing records.
Maintaining the medical records tidily by changing torn or damaged folders.
Assembling the contents of medical records in the prescribed order for easy retrieval of information
Creates volumes of larger records and maintain the data in the HIS
Purges inactive records and maintains the details of inactive records in the HIS
Retrieves inactive records from the offsite storage on request and reactivates in the HIS.
Receives medical records returned from clinics, departments, inpatient discharges and tracks in the HIS.
Generates daily list of records not received in HIS and follows up to receive the pending records.
Receives and files external lab reports, referral letters, insurance authorization forms and other correspondences in patients medical record.
Providing Information from Medical Records
Providing medical records and information on patients for clinic appointments, inpatient admissions, Emergencies, clinical review, research and Audits.
Recieves requests for release of information from patient, insurance companies and other requestor and enters requests in the HIS
Provides photocopies paper medical records/ prints copies of electronic medical records as directed by the ROI supervisor.
Performing a variety of chart assembly related clerical activities
Printing physician deficiency analysis report on request
Liaising with physicians and clinical staff to complete the incomplete documentation identified by coders.
Preparing medical records for physician’s completion
Maintaining the filing of incomplete records and updates the completion status in the HIS.
Process transcribed medical reports
Ensure accuracy of header and footer information of all printed reports
Apply patient label to reports
Prioritize processing of reports by work type as per established turnaround times indicated in Transcription Clerk Manual to ensure accurate and timely distribution
Photocopy and distribute copies, and prepare copies for mailing to physicians and other facilities
Maintain patient information databases Enter and maintain accurate database of all reports transcribed to track distribution and location of same
Maintaining client service standards Demonstrating customer focus when interacting with internal or external customers
Maintaining positive working relationships within the department/section and between various facility departments/sections
Performing other duties as assigned
Contributing to team effort
Participating in all team efforts as required
Collaborating with other members of the team to carry out work smoothly

In addition, the institution also includes four clinics which are Bida Mutawa, Abu Al-Abyad Clinic, Sir Bani Yas Clinic, and Al Dhafra Family Medicine Center (DFMC). Together, these hospitals and clinic provide coverage across 16 different specialties including inpatient and outpatient medical services covering different fields and specialties, including internal medicine, pediatrics, gynecology & obstetrics, general surgery, anesthesia, pharmacy services, laboratory and diagnostic radiology.
