Clinical Care Coordinator (Healthplus IVF)
We’re looking for a compassionate and organized Clinical Care Coordinator to join our team at HealthPlus IVF. This role ensures that every patient receives seamless, patient-centered care across their fertility journey, from first consultation through treatment and follow-up. The Clinical Care Coordinator serves as the main point of contact, aligning with Department of Health’s Patient Experience Standards, and is central to orchestrating communication across clinical, laboratory, nursing, and administrative teams. The role combines empathy with precision, ensuring that care is coordinated, consistent, and centered around each patient’s unique needs and preferences.
Responsibilities
- Serve as the dedicated patient contact throughout the fertility journey – guiding patients with clarity, empathy, and consistency.
- Coordinate appointments, investigations, treatment cycles, and follow-ups to ensure a continuous and frictionless experience.
- Oversee digital touchpoints (portal, CRM, reminders, satisfaction surveys) to ensure timely and accurate communication.
- Act as the operational link between physicians, nurses, embryologists, counselors, and billing staff to align clinical actions with patient expectations and treatment timelines.
- Facilitate cycle readiness checks and pre-procedure clearances across nursing, embryology, and finance teams.
- Conduct onboarding sessions to orient patients and partners on treatment protocols, consent processes, and next steps.
- Deliver educational materials and pre-cycle checklists to enhance preparedness and engagement.
- Gather patient preferences (language, gender of physician, communication mode, and cultural sensitivities) to tailor the care experience.
- Proactively collect patient feedback and monitor experience scores, escalating concerns to relevant leaders for resolution.
- Support the clinical quality and patient experience teams in tracking key metrics such as satisfaction, communication turnaround times, and cycle continuity.
- Maintain strict adherence to ADHICS data standards and patient confidentiality requirements.
- Contribute to the digitization of patient pathways and adoption of new patient engagement tools.
Qualifications
- Bachelor’s Degree in Nursing, Healthcare, or a related field.
- Minimum 3 years’ experience in patient care coordination, preferably within IVF, women’s health, or high-touch clinical services.
- Strong interpersonal and communication skills; Arabic and English proficiency required.
- Knowledge of DOH patient experience standards and EMR systems preferred.
- Ability to manage caseloads with empathy, discretion, and attention to detail.
