Administrative Assistant

Job Description

The Administrative Assistant plays a key role in ensuring the smooth operation of the office and supporting the organization’s administrative and operational needs. This role involves managing office logistics, procurement, compliance, and coordination of daily administrative tasks.

🔹 Key Responsibilities:

  • Oversee building and equipment maintenance, ensuring all facilities are properly maintained.
  • Manage procurement processes for materials, office supplies, and other operational needs, ensuring compliance with company policies, contracts, and approved procedures.
  • Ensure compliance with health, safety, and workplace regulations.
  • Maintain inventory and stock of office and operational supplies, monitoring usage and replenishment.
  • Coordinate administrative and logistical support services, including maintenance, operational contracts, and other related tasks.
  • Prepare reports, analyze information, and provide recommendations to support management decisions.
  • Manage protocols for receiving and sending off guests, ensuring professional standards are maintained.
  • Handle travel arrangements, including airline tickets, hotel bookings, and transportation services.
  • Carry out any other administrative or operational tasks as required.

🔹 Requirements:

  • Education: Bachelor’s degree in business administration, Management, or a related field.
  • Experience: Minimum of 2–5 years in administration, or office management.

🔹 Skills and Competencies:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to supervise staff and coordinate with multiple teams.
  • Knowledge of procurement processes, inventory management, and office logistics.
  • Ability to analyze data and prepare clear reports and recommendations.
