Key Responsibilities

• Greet clients and their pets with warmth, professionalism, and genuine care

• Answer phone calls, respond to emails, and direct inquiries to the appropriate team members

• Schedule and confirm appointments, manage the clinic calendar, and coordinate follow-up reminders

• Register new clients and patients; accurately update and maintain medical and client records

• Process payments, issue invoices, and handle basic billing inquiries

• Liaise between clients and veterinary staff to ensure smooth communication and patient flow

• Ensure the reception area and waiting room are clean, organized, and welcoming at all times

• Handle administrative tasks including data entry, filing, and document management

• Assist with ordering clinic supplies and coordinating deliveries as needed

• Provide clients with basic information about clinic services, appointment procedures, and general pet care guidance

• Support the veterinary team with day-to-day operations as needed
  
  
  

Requirements

Required

• Minimum 1 year of experience in a receptionist, front desk, or customer-facing administrative role

• Excellent verbal and written communication skills in English

• Strong organizational skills and the ability to multitask in a fast-paced environment

• Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with digital booking or practice management systems

• A professional, positive, and client-centered attitude

• A genuine love for animals and empathy toward pet owners

Preferred

• Prior experience in a veterinary clinic, pet care facility, or animal-related environment

• Familiarity with veterinary practice management software
