About Us:

Eye Consultant is dedicated to providing top-quality eye care services. We are looking for a friendly and organized Patient Administrator to join our team and ensure a positive experience for our patients.

Key Responsibilities:

  • Welcome and check in patients professionally and warmly.
  • Register new patients and update existing records in our EMR system.
  • Collect and verify personal, insurance, and referral documentation.
  • Guide patients through treatment plans as per doctor instructions.
  • Obtain informed consents and assist in patient routing.
  • Manage appointments for walk-ins, surgeries, and visiting doctors.
  • Record cancellations and no-shows for accurate tracking.
  • Maintain an orderly patient flow and waiting area.
  • Organize, scan, and attach medical and administrative documents to patient files.
  • Maintain records of pending documents, consent forms, and lost & found items.
  • Support communication by translating or explaining documents as needed.
  • Coordinate follow-up appointments and reports using EMR/CRM tools.
  • Assist with internal campaign tracking and lead source recording.
  • Gather and log patient feedback for the quality and marketing teams.
  • Submit daily reports (visits, cancellations, no-shows, etc.).
  • Support preparation of monthly/quarterly demographic and referral data.
  • Assist in tracking feedback and walk-in statistics.
  • Maintain a tidy, welcoming reception area.
  • Ensure forms and supplies are well-stocked.
  • Support referral tracking and assist during DHA audits or surveys.
  • Organize schedules and maintain patient records for follow-up and surgeries.
  • Follow all safety, infection control, and confidentiality policies.
  • Report incidents to the quality department.

What are we looking for:

Education:

  • Bachelor’s degree in Business Administration or a related field.

Experience:

  • At least 2 years’ experience in reception or customer service, preferably in a healthcare or eye clinic setting.

Skills:

  • Proficiency in Microsoft Office, EMR, and CRM systems.
  • Excellent communication, organizational, and interpersonal skills.
  • Familiarity with healthcare documentation, compliance, and service standards.
