Job Description

We are looking for a dedicated and well-organized Medical Administrator to support the medical operations of Grosvenor House and Le Royal Meridien Beach Resort & Spa. This role is ideal for someone who brings strong administrative skills, professionalism, and the ability to support colleagues across two of Dubai’s leading luxury hotels.

About the Role:

The Medical Administrator plays a key part in ensuring smooth coordination between employees, the hotel clinics, and external healthcare providers. You will handle medical documentation, appointment scheduling, insurance processing, and employee medical inquiries while maintaining strict confidentiality and accuracy. Your work will directly support the wellbeing of our associates and help the hotel maintain compliance with all relevant health and safety standards.

In this role, you will manage medical files, coordinate clinic visits, track sick leaves, and assist with occupational health requirements. You will also support internal communication related to medical guidelines, ensure proper reporting, and work closely with HR, medical staff, and department heads to support a safe and organized work environment.

Key Responsibilities:

• Managing employee medical files and ensuring all records are accurate and confidential

• Coordinating medical appointments, follow-ups, and clinic schedules

• Assisting with insurance claims, approvals, and documentation

• Supporting pre-employment medical processes and periodic health checks

• Preparing regular reports for HR and management on medical trends and compliance

• Handling sick leave documentation and ensuring alignment with UAE labor regulations

• Responding to staff inquiries and providing clear guidance on medical procedures

• Maintaining stock and readiness of first-aid and medical supplies

• Liaising with external clinics, hospitals, and insurance providers

• Ensuring adherence to hotel standards and local health and safety requirements

What We’re Looking For:

• Experience in medical administration, healthcare coordination, or HR support

• Strong organizational skills and a high level of accuracy

• Professional communication and the ability to handle sensitive information

• Good knowledge of healthcare documentation and insurance processes

• Ability to multitask and work calmly during busy periods

• Proficiency in basic computer systems and medical record software
