Job Summary:

The Medical Affairs Coordinator is responsible for coordinating the administrative, operational, and reporting functions of the Medical Affairs Office. The role supports the Chief of Medical Staff in ensuring smooth workflow across medical departments, physician scheduling, committee management, patient safety follow-up, and performance dashboard reporting.

Key Responsibilities:

Prepare and coordinate the monthly duty schedules for all medical departments in collaboration with Heads of Departments and department coordinators.

Organize and maintain the Outpatient Department (OPD) physician schedules, ensuring timely updates, clinic coverage, and communication of changes.

Manage the Medical Committees calendar, including meeting scheduling, invitations, attendance tracking, agenda preparation, and accurate documentation of meeting minutes.

Document and track patient safety rounds findings, including observations, action points, assigned responsibilities, and follow-up closure status.

Collect, validate, and compile Medical Affairs KPIs data from all relevant departments and prepare performance dashboards and trend reports.

Prepare and circulate daily, weekly, and monthly hospital census reports, including inpatient occupancy, critical care utilization, admissions, discharges, and departmental census summaries.

Support CMS office activities through preparation of regular operational reports, presentations, memos, and official correspondence.

Maintain organized records for medical staff schedules, privileges, committee documentation, departmental requests, and CMS office files.

Follow up on pending requests and action items related to medical departments, physician manpower, compliance issues, and interdepartmental coordination.

Coordinate communication between CMS office, department heads, quality, nursing, patient safety, and hospital administration.

Perform other Medical Affairs secretarial and coordination duties as assigned by the CMS office.

Advanced Excel and dashboard reporting skills

Strong communication and inter-departmental follow-up

KPI reporting and census analysis

Familiarity with hospital committees and accreditation standards

Ability to maintain confidentiality and professionalism

Preferred Background:

Bachelor’s degree in healthcare administration, Business Administration, or related field

Experience in hospital medical affairs / medical administration

Experience with CBAHI, JCI, and quality dashboards

Proficiency in hospital information systems and Microsoft Office
