Role Description The Front Desk Administrator is a full-time, on-site role based at Spectra Cure Clinic in New Cairo. This role is responsible for greeting and checking in patients and visitors, answering phones, managing appointment scheduling, and directing inquiries to the appropriate team members. Day-to-day tasks include handling patient registration, maintaining accurate records, organizing files, processing paperwork,. The Front Desk Administrator will also support general administrative functions, coordinate with clinical staff, and ensure a professional, welcoming reception area. The role requires consistent punctuality, attention to detail, and a calm, supportive approach when interacting with patients and families.

Key Responsibilities:

  • Welcome patients and visitors professionally and ensure an excellent first impression
  • Manage appointment scheduling, confirmations, cancellations, and daily patient flow
  • Handle incoming calls, WhatsApp inquiries, and front desk communications efficiently
  • Register patients, maintain files, and ensure documentation accuracy
  • Coordinate with doctors, therapists, and internal departments for seamless service delivery
  • Support billing coordination and patient payment follow-up with finance/front desk teams
  • Resolve patient concerns professionally and maintain high satisfaction levels
  • Maintain front office appearance, organization, and service standards at all times

Qualifications

  • Bachelor’s Degree in any discipline is required
  • 2–5 years of experience in Front Office, Reception, Patient Service, or Customer Service
  • Previous experience in clinics, hospitals, medical centers, or premium service environments is highly preferred.
  • Strong communication, interpersonal, and customer handling skills
  • Excellent presentation and professional attitude
  • Strong organizational and multitasking abilities
  • Ability to work under pressure in a fast-paced environment
  • Advanced proficiency in both English and Arabic (spoken and written) is essential
  • Proficiency in Microsoft Office and basic computer skills
  • Experience using clinic management systems or CRM tools
