This role is responsible for handling the day-to-day administrative activities including but not limited to, handling
incoming/outgoing correspondence, travel arrangements, internal/ external meetings, as well as receiving visitors
and performing administrative support tasks as requested by the leadership in order to optimize workflow
procedures in the office.
Responsibilities
- Ensures compliance with divisional policies, procedures, and regulatory, accreditation, and certification standards.
- Contributes to a culture of continuous improvement, enhancing operational efficiency and effectiveness while identifying and managing risks.
- Maintains professionalism, confidentiality, and adherence to the organization’s code of conduct, including timely completion of performance evaluations.
- Manages the line manager’s calendar, meetings, travel arrangements, and logistics, ensuring effective scheduling and coordination.
- Handles correspondence, calls, documents, and visitor management, prioritizing and responding as appropriate.
- Provides comprehensive administrative support including document preparation, meeting coordination, minutes, filing systems, and office supply management.
- Facilitates communication and follow-ups with internal and external stakeholders, ensuring timely updates and alignment on tasks, deadlines, and priorities.
- Promotes person-centred care and effective communication by fostering trust, engagement, collaboration, and alignment with organizational values and operational objectives.
Qualifications
- Diploma in Secretarial Studies with a minimum of 2 years of relevant experience OR Bachelor’s degree in a relevant field
- Minimum of 4 years of experience as a Senior Administrative Assistant OR At least 2 years of experience as a Personal Assistant supporting CXO-level executives
