Job Description

The Administration Executive is responsible for managing and coordinating the daily administrative operations of the medical center. This includes overseeing front-office functions, maintaining records, supporting clinical staff, ensuring regulatory compliance, and enhancing patient experience through efficient administrative processes.

Responsibilities

  • Oversee day-to-day office activities to ensure smooth operations.
  • Manage scheduling, appointments, and coordination between departments.
  • Maintain medical and administrative records, ensuring accuracy and confidentiality.
  • Supervise support staff (receptionists, clerks, housekeeping, etc.).
  • Ensure compliance with health and safety regulations and accreditation standards.
  • Monitor patient registration, billing, and record management processes.
  • Address patient inquiries, feedback, and complaints professionally.
  • Ensure a welcoming, organized, and efficient reception area.
  • Assist in budgeting, expense tracking, and financial reporting.
  • Verify vendor invoices and support finance department with documentation
  • Ensure the medical center adheres to local healthcare regulations and internal policies.
  • Prepare and submit periodic reports to management (operations, inventory, patient statistics).
  • Liaise with external agencies, auditors, and government authorities as required.

Qualifications

  • Bachelor’s degree in Business Administration, Healthcare Management, or related field.
  • 2–5 years of administrative experience (preferably in healthcare or medical setting).
  • Strong organizational, leadership, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and healthcare management software.
  • Knowledge of medical terminology and healthcare regulations is an advantage.
