Job Description
The Administration Executive is responsible for managing and coordinating the daily administrative operations of the medical center. This includes overseeing front-office functions, maintaining records, supporting clinical staff, ensuring regulatory compliance, and enhancing patient experience through efficient administrative processes.
Responsibilities
- Oversee day-to-day office activities to ensure smooth operations.
- Manage scheduling, appointments, and coordination between departments.
- Maintain medical and administrative records, ensuring accuracy and confidentiality.
- Supervise support staff (receptionists, clerks, housekeeping, etc.).
- Ensure compliance with health and safety regulations and accreditation standards.
- Monitor patient registration, billing, and record management processes.
- Address patient inquiries, feedback, and complaints professionally.
- Ensure a welcoming, organized, and efficient reception area.
- Assist in budgeting, expense tracking, and financial reporting.
- Verify vendor invoices and support finance department with documentation
- Ensure the medical center adheres to local healthcare regulations and internal policies.
- Prepare and submit periodic reports to management (operations, inventory, patient statistics).
- Liaise with external agencies, auditors, and government authorities as required.
Qualifications
- Bachelor’s degree in Business Administration, Healthcare Management, or related field.
- 2–5 years of administrative experience (preferably in healthcare or medical setting).
- Strong organizational, leadership, and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and healthcare management software.
- Knowledge of medical terminology and healthcare regulations is an advantage.
