Procurement Officer

Job Description

We are currently looking for a Procurement Officer to join our clinic and play a vital role in ensuring the seamless sourcing, delivery, and management of medical supplies, services, and vendor relationships.

Procurement Planning:

  • Collaborate with clinic departments to identify their procurement needs and requirements.
  • Develop and implement a procurement plan to ensure timely availability of medical supplies, equipment, and services.

Vendor and Contract Management:

  • Identify and evaluate potential suppliers and vendors.
  • Negotiate contracts, terms, and conditions with suppliers to secure cost-effective deals.
  • Monitor vendor performance, resolve issues, and maintain positive vendor relationships.
  • Monitor and manage contracts with suppliers and contractors to ensure compliance with agreed terms, timelines, and service levels.

Purchase Orders and Documentation:

  • Generate purchase orders and ensure all necessary documentation is completed accurately.
  • Maintain procurement records and documentation, including invoices, contracts, and receipts.

Inventory and Store Management:

  • Maintain optimal inventory levels to avoid shortages or overstock situations.
  • Implement inventory control measures to minimize waste and reduce costs.
  • Oversee store management activities, including receiving, storage, and distribution of supplies, ensuring proper organization and security of inventory.

Compliance and Regulations:

  • Ensure compliance with all relevant procurement policies, regulations, and laws.
  • Stay updated on industry trends and best practices in procurement.

Quality Assurance:

  • Ensure that all procured medical supplies and equipment meet quality and safety standards.
  • Collaborate with healthcare staff to ensure that procurement decisions align with patient care needs.

Reporting:

  • Generate reports on procurement activities, including spending, cost savings, and vendor performance.
  • Provide regular updates to clinic management on procurement-related matters.

Qualifications:

✅ Bachelor’s degree in Supply Chain, Business Administration, or a related field

✅ Minimum 2–3 years of experience in procurement, preferably in a healthcare or clinical setting

✅ Strong negotiation and vendor management skills

✅ Knowledge of inventory control systems and storekeeping procedures

✅ Familiarity with procurement regulations and quality standards in healthcare

✅ Excellent organizational and communication skills

✅ Proficient in MS Office and procurement software/tools
