Job Description
Leads and oversees all home healthcare medical supplies stores to ensure continuous, safe, and cost-effective availability of medical consumables, basic medications, IV solutions, vaccines, and related materials for home care services.
Manages storekeepers, inventory systems, cold chain, and coordination with Dallah Health shared services and central stores. Ensures that all supply-chain practices comply with Dallah policies, CBAHI/JCI standards, and regulatory requirements, supporting uninterrupted operations for nurses, physicians, and allied health professionals.

Functional Accountabilities
Operational Leadership & Supervision
• Supervises day-to-day operations of all home healthcare stores across branches and shifts.
• Allocates duties and schedules for storekeepers to ensure proper coverage (morning/evening).
• Monitors adherence to policies, procedures, and standard work for receiving, storage, issuing, and documentation.
• Conducts regular walkthroughs of stores to check organization, cleanliness, safety, and compliance.
Inventory Management & Stock Optimization
• Sets and reviews par levels and reorder points for all key items in coordination with Nursing, Supply Chain, and Finance.
• Reviews consumption trends, stock movements, and variances to reduce stock-outs, overstock, wastage, and expired items.
• Approves and consolidates store requisitions to Dallah Central Store and follows up on pending deliveries.
• Oversees monthly, quarterly, and annual physical inventory counts and reconciliations with the inventory system.
• Identifies slow-moving and near-expiry items and implements redistribution or usage plans with clinical teams.
Receiving, Storage & Cold Chain Oversight
• Ensures all incoming supplies from Dallah Central Store and approved vendors are checked (codes, quantities, batch numbers, expiry dates, integrity).
• Ensures proper storage conditions are maintained for all items based on type, safety, and infection prevention requirements.
• Oversees cold chain management for vaccines and other temperature-sensitive items, including:
◦ Temperature monitoring and documentation.
◦ Escalation and corrective action for any excursions.
◦ Implementation of backup and contingency plans.
• Ensures FEFO/FIFO stock rotation is consistently applied in all stores.
Issuing, Kits & Support to Clinical Operations
• Designs and standardizes issue processes and request forms (manual/electronic) for all clinical teams.
• Oversees preparation and periodic review of standard kits/bags (e.g., wound care, IV therapy, lab kits, procedure-specific packs).
• Ensures traceability of patient-specific supplies and high-cost items when required.
• Coordinates closely with Head Nurses, Charge Nurses, and other disciplines to anticipate demand (e.g., vaccination campaigns, new programs, seasonal peaks).
Trials, New Items & Coordination with Dallah Health Shared Services
• Manages trial requests for new items, devices, or kits in coordination with Nursing Director, Supply Chain, and Procurement.
• Collects feedback from clinical teams on trial items and prepares summary reports with recommendations.
• Ensures item master data (codes, descriptions, pack sizes) is aligned with Dallah Health shared services and kept updated.
• Participates in vendor and product evaluation processes as requested by management.
Quality, Safety, and Regulatory Compliance
• Ensures all store processes comply with Dallah Home Healthcare policies, CBAHI/JCI standards, MOH and other regulatory requirements.
• Develops, updates, and implements SOPs for supplies management, including temperature excursions, product recalls, and incident handling.
• Leads internal audits of stores and coordinates responses to external audits/inspections.
• Ensures proper documentation and traceability for vaccines, critical supplies, and recalled products.
• Tracks and reports non-compliances, near misses, and incidents; leads or supports corrective and preventive actions.
Data, Systems & Reporting
• Oversees accurate and timely data entry in inventory management systems and related tools (ERPs, Excel trackers, etc.).
• Generates regular reports on:
◦ Stock status and critical items.
◦ Near-expiry and wastage.
◦ Consumption and cost trends per branch/service line.
• Provides data for budgeting, forecasting, and cost-control initiatives.
• Ensures standardized documentation across all stores and that records are available for review at any time.
Team Development & Competency Management
• Identifies training needs of storekeepers and develops/implements competency-based training and refreshers.
• Orients new storekeepers on policies, procedures, systems, and safety requirements.
• Conducts periodic performance evaluations and provides feedback and improvement plans.
• Promotes a culture of accuracy, accountability, and proactive problem-solving within the store team.
Collaboration & Communication
• Acts as the main link between Nursing leadership, Supply Chain/Central Store, Pharmacy, Finance, and other departments on supply issues.
• Communicates clearly with clinical leaders regarding availability, substitutions, standardization of items, and usage control.
• Participates in relevant committees or taskforces (e.g., Infection Control, Quality, Medication Safety, FMS) when related to supplies.
Professionalism & Conduct
• Demonstrates integrity and transparency in handling stock, records, and financial-sensitive data.
• Maintains confidentiality of organizational information and supplier pricing.
• Models professional behavior, punctuality, and accountability for the store team.
Requirements
Knowledge and Experience
• Minimum five (3) years’ experience in medical stores, logistics, or supply chain, including at least two (2) years in a supervisory role.
• Experience in hospital or home healthcare supply chain is strongly preferred.
• Solid understanding of inventory management principles (par levels, reorder points, stock rotation, cycle counting, variance analysis).
• Knowledge of cold chain management and safe handling of vaccines and temperature-sensitive medications.
• Familiarity with CBAHI/JCI requirements related to medical supplies, medication storage, and safety is an advantage.
• Proficiency with inventory systems/ERP and MS Office (Excel, Word, Outlook).
Education and Certifications
• Minimum: Diploma in logistics, supply chain, business administration, or related field.
• Participation in relevant supply chain or materials management courses/workshops is an advantage.
• Compliance with any applicable Saudi regulatory/organizational requirements for medical stores management.
