The HIMS Administrator is responsible for maintaining and managing of the patient’s electronic medical record (EMR) by performing quantitative and qualitative analysis of the patient’s record and ensuring adherence with the completion requirements as established by the Joint Commission International Accreditation and DOH/DHA standards.

Responsibilities

  • Conduct quantitative and qualitative reviews of patient medical records to ensure completeness, accuracy, and compliance with documentation standards.
  • Analyze physician documentation and identify missing information, discrepancies, or deficiencies requiring correction or completion.
  • Coordinate and follow up on incomplete medical records by issuing deficiency notifications to responsible physicians in accordance with organizational and regulatory requirements.
  • Manage the release of medical information by validating authorizations, processing requests, and ensuring compliance with confidentiality and privacy standards.
  • Scan, upload, and maintain patient records within the Electronic Medical Record (EMR) system to ensure timely accessibility and record integrity.
  • Identify, investigate, and merge duplicate medical record numbers to maintain accurate patient information across systems.
  • Respond to medical record inquiries and provide documentation support to healthcare professionals, patients, and authorized external agencies.
  • Collaborate effectively with multidisciplinary teams to ensure compliance with regulatory requirements, support operational excellence, and drive continuous improvement initiatives.

Qualifications

  • Associates of Science degree in Health Information Technology
  • A minimum of 3 years of progressive career experience
  • Experience in Health Information Management or Medical Records Department
  • Ability in utilizing health informationsystem (HIS) software
  • Knowledge of Protected Health Information (PHI)
